A bid template is a form, and a form is only as good as the fields it forces you to fill in. The ones circulating free tend to capture the customer, the areas and a total, which is enough to produce a document and not enough to produce a price. The fields that decide whether the bid is profitable are the ones about your own costs, and they are exactly the fields a template written to be universally applicable leaves out.
The fields a bid sheet must force
Crew size and hours per visit, because that is the labour. The loaded hourly cost, not the wage. Visits per month and per year. Supplies and consumables per visit. Travel, in miles or in paid time. Overhead per paid hour. Target margin. Only then the total. A sheet that starts at the total is a document; a sheet that starts at the hours is a bid.
What separates an estimate from a bid
An estimate is indicative and says so; a bid is an offer at a price. Both should carry the same arithmetic underneath, but the language and the validity period differ, and the difference should be printed on the document. A great deal of unpleasantness in this trade comes from an estimate that the customer read as a fixed price and nobody wrote down which it was.
Keeping the sheet rather than the PDF
The PDF is the output. The sheet is the asset, because next year's bid for the same building is this year's sheet with two numbers changed. Businesses that keep only the documents re-derive every price from scratch, which is why most of them stop re-deriving and start guessing.
Questions people ask about cleaning bid template
Where can I get a free cleaning bid template?
Many sites offer one and they are broadly interchangeable. Use one for the layout and build the numbers from your own costs; the free sheets here do that part.
Should the bid show a breakdown?
For commercial work, show the rate and the frequency. For residential, a single price is usually better; a breakdown invites line-by-line negotiation.
How long should a bid stand?
Thirty days is common and it should be printed. Wages and supplies move, and an open-ended price is a promise you did not mean to make.
