A commercial checklist has two lives. First it is the crew's list, telling them what to do in what order. Then it is the inspector's sheet, telling a supervisor what to score. Writing it once so it serves both is what makes quality measurable, and it is why the checklist and the audit sheet in a well-run contract cleaning business are the same document read in two directions.

Organise by area, then by frequency

Restrooms, offices and open plan, kitchens and break rooms, corridors and stairwells, entrances and glass, floors by type, and any specialist areas such as clinical rooms or workshops. Under each, the tasks with their frequency. This structure survives contact with a real building: a crew works an area at a time, and an inspector scores an area at a time, so a task-ordered list serves neither.

The walkthrough checklist at handover

When an account starts, or a supervisor changes, a walkthrough checklist records the state of the building before you are responsible for it: existing damage, stained carpet, broken fixtures, areas you cannot access. Photographs against each. This is a fifteen-minute job that settles a dispute you would otherwise lose, because the default assumption is that the cleaner did it.

Turning the list into a score

Give each item a rating rather than a tick, on the same scale every time, and weight the areas by what the customer cares about, which in most buildings is restrooms and entrances. The total is comparable month to month, which means a decline is visible before the customer raises it. Sending that score to the customer on a schedule is the single most effective retention habit in contract cleaning.

Questions people ask about commercial cleaning checklist

Should the checklist be paper or on a phone?

Whatever gets completed. Paper that is filled in beats an app that is skipped, though only the app produces a trend without retyping.

How detailed should a janitorial checklist be?

Detailed enough that two different cleaners produce the same result, and no longer. A list nobody reads is a list nobody follows.

Who should do the inspection?

Someone who did not clean the building. That is the point at which an inspection stops being self-assessment.
